1. Who we are
PlumbPaid is an invoicing and payment app operated by RPC Tech Solutions LLC (“PlumbPaid,” “we,” “our,” or “us”). This policy applies to the PlumbPaid mobile app and www.getplumbpaid.com. Privacy questions and requests may be sent to support@getplumbpaid.com.
2. Who PlumbPaid is for
PlumbPaid is a business tool intended for sole plumbers, plumbing professionals, and small plumbing firms whose users are at least 18 years old. The service is not directed to children, and we do not knowingly collect personal information directly from anyone under 18.
3. Information we collect
We collect the following information when a plumber creates or manages an account, enters customer or job information, creates an invoice, takes or uploads a photograph, records a payment, or contacts support:
- Names: the plumber’s name, business contact name, and customer names.
- Addresses: the plumber’s business or billing address and customer billing or job addresses.
- Phone numbers and email addresses: contact details for the plumber and customers, including details used to send invoices and receipts.
- Photos: before-and-after job photographs that the plumber chooses to take or upload.
- Business and invoice information: business letterhead, invoice numbers, line items, prices, job notes, invoice totals, payment method, payment status, transaction references, and receipt records.
- Support information: messages and files submitted to PlumbPaid support.
- Sign-in information: the account email address, a password (stored only by our sign-in provider, never readable by us), and, for those who choose it, the Google account used to sign in. Each sign-in also uses a one-time code emailed to the account address.
- Device information: a name and identifier for each phone or tablet signed in to the account, the platform, and when it was last used, so that each person’s sign-in can be used on 2 devices at a time and the owner can remove an old device.
- Location: (a) to take in-person card payments with Tap to Pay, Stripe requires the phone’s location while a payment is being taken; (b) on the Small Team plan, if the business owner has turned on route tracking and a plumber chooses to start a shift and allows it, the plumber’s phone shares its location in the background - even with the app closed - until the shift ends, so the owner can see who is nearest to a job, the plumber’s drive during that shift, and an arrival time; (c) when a plumber taps On my way, the phone’s position at that moment is used once to estimate the arrival time; and (d) job addresses are looked up on a map to work out distances.
- Jobs: on the Small Team plan, jobs the owner books - the customer, address, time, the plumber it is given to, notes - and their progress (on the way, arrived, finished, with times).
- Help questions: questions typed into the Help screen’s helper, and the answers given.
- Subscription and referral information: which plan the business has, its trial and renewal dates as reported by Google Play or the App Store, and referral codes used. Store payment details stay with Google or Apple.
- Crash and diagnostic information: if the app crashes, a report of what went wrong, the phone model and system version, and the app version.
Information is provided directly by the plumber, entered about a customer for invoicing and job records, generated as the app is used, or received from Stripe as payment status and transaction information.
We will update this policy before a new feature changes the information PlumbPaid collects or uses.
4. Offline use and synchronization
PlumbPaid is designed to continue working when an internet connection is unavailable, including in basements, attics, underground locations, and other job sites with limited service. Information entered while offline may be stored locally on the plumber’s device. When a connection becomes available again, the app synchronizes applicable customer, job, invoice, and photo information with the PlumbPaid service. The plumber is responsible for protecting access to the device while information is stored locally.
5. Credit card information
PlumbPaid does not collect or store credit card numbers, card security codes, or complete payment card details. Stripe processes electronic payments made through Tap to Pay, manual card entry on Stripe’s secure page, and “Pay Invoice” links. Card information is entered into or read by Stripe’s secure services and is handled under Stripe’s Privacy Policy. Customer funds settle directly into the plumbing business’s connected Stripe account. PlumbPaid does not hold customer funds.
6. How we use information
We use the information described above to:
- create and maintain PlumbPaid accounts, business settings, and the plumber’s customer address book;
- create, store, deliver, and manage invoices with line items, job addresses, notes, photos, and business letterhead;
- send payment links and automatic receipts;
- show payment status and maintain transaction records without storing complete card details;
- create PDF invoices, CSV exports, and printable invoice summaries;
- provide customer support, troubleshoot problems, and respond to privacy requests;
- protect PlumbPaid, its users, and customers from fraud, misuse, and security threats; and
- comply with legal, accounting, tax, and regulatory obligations.
We do not sell personal information. We do not use personal information for third-party behavioral advertising or to track people across other companies’ apps or websites.
7. When information is shared
We share information only when needed to provide PlumbPaid, at the plumber’s direction, or when legally required:
- Stripe: payment and transaction information needed to process electronic payments, confirm status, and support the plumber’s connected Stripe account. PlumbPaid does not receive complete card details.
- The plumber and customer: invoices, payment links, receipts, and related job information are shared with the recipients selected by the plumber.
- Google (Firebase and Google Cloud): hosts PlumbPaid’s database, sign-in, photo storage and server functions, and receives crash reports (Firebase Crashlytics).
- Anthropic: questions typed into the Help screen’s helper, with the person’s role (owner or plumber), are sent to Anthropic’s AI service to be answered from PlumbPaid’s instructions. PlumbPaid does not keep the questions; Anthropic handles them under its commercial terms.
- Google Play and the App Store: process subscription purchases and tell PlumbPaid which plan a business has.
- Within the business: the business owner sees the company’s customers, invoices and jobs; a plumber sees their own work and jobs. During a shift a plumber has chosen to start, the owner sees that plumber’s location and drive.
- Other service providers: companies that help us host and secure the service, authenticate accounts, deliver email, store data and photographs, and provide technical support. They are permitted to use information only to provide services to us, must protect it, and are required to provide the same or an equivalent level of privacy protection described in this policy.
- Legal and safety reasons: when reasonably necessary to comply with law, respond to valid legal process, prevent fraud or harm, protect rights and safety, or complete a business transaction subject to appropriate safeguards.
8. Photographs, location and device permissions
PlumbPaid asks for location when Tap to Pay needs it, and when a plumber starts a shift with route tracking on. Location “all the time” is asked for only by starting a shift; a notification shows while it is shared, and it stops when the shift ends - by tapping End shift, logging out, or after 14 hours - or when the owner turns route tracking off. Each plumber decides whether to share; jobs keep working without it. PlumbPaid requests access to the camera or photo library only when the plumber chooses to take or attach job photographs. A plumber can deny or withdraw device permission through the phone’s settings. Withdrawing permission prevents new photo capture or selection but does not automatically delete photos already attached to PlumbPaid records. Existing photos can be managed in the app where that option is available or through a request to support.
9. Retention and deletion
Shift locations are kept only for the shift: the latest position and that shift’s drive are deleted when the shift ends, and every one is deleted if the owner turns route tracking off. No history of earlier shifts is kept.
We retain account, customer, job, invoice, and photo information while the PlumbPaid account remains active and for as long as reasonably needed to provide the service, maintain business and transaction records, comply with legal, tax, accounting, fraud prevention, and security obligations, and resolve disputes.
Only a verified plumbing company owner may request deletion of the company account and its company data by opening the app’s Settings menu and selecting the red Delete my account button, or by following our Delete Account instructions. Staff members cannot delete the company account. A staff member may contact support@getplumbpaid.com about removal of their individual login or personal data without deleting company records. After identity verification, we aim to complete a valid deletion request within 30 days. Information in protected backups may remain until overwritten during the normal backup cycle, which may take up to 90 days. We may retain limited invoice, transaction, or audit records for longer when required by law or needed to establish, exercise, or defend legal claims. Stripe controls information retained in its own systems.
10. Your choices and rights
Account holders may ask to access, correct, export, or delete their personal information by emailing support@getplumbpaid.com. They may revoke camera or photo permission in device settings and may edit or remove customer and job information through available app controls. Depending on location, additional legal rights may apply. We may verify identity before completing a request.
A plumbing business using PlumbPaid is responsible for its own relationship with its customers and for responding to customer requests concerning the customer information it enters. Customers may contact the plumber shown on their invoice or email us for help identifying the appropriate account holder.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Electronic card payments are handled by Stripe, and PlumbPaid does not store complete card details. No method of electronic storage or transmission can be guaranteed completely secure.
12. International processing
PlumbPaid and its service providers may process information in the United States and other countries where they operate. Those locations may have different privacy laws. We use appropriate protections for information transferred across borders when required by law.
13. Changes to this policy
We may update this policy when PlumbPaid or applicable law changes. We will post the updated version here with a revised effective date and provide additional notice when required.
